Request for Proposal (RFP)

An RFP invites suppliers to propose how they would deliver a solution, including their approach, scope, team, pricing, and assumptions.

Definition

In general ERP practice

A request for proposal (RFP) is a structured invitation for suppliers to propose a solution to a defined business need. An ERP RFP typically describes requirements, submission rules, expected delivery information, and the basis for evaluation.

Unlike a request for quotation focused on specified purchases and prices, an RFP often asks the supplier to explain its implementation approach, staffing, assumptions, integrations, and treatment of functional gaps. Terminology and tender procedures vary between organizations.

In Odoo

An ERP tender for selecting Odoo and an implementation partner is different from operational purchasing inside Odoo.

Odoo Purchase supports procurement workflows, including requests for quotation. Those purchasing records should not be treated as a complete enterprise ERP selection methodology.

What to check in an ERP project

  1. Comparable responses

Ask all candidates to address the same requirements.

  2. Scope and assumptions

Require suppliers to identify exclusions and additional work.

  3. Delivery team

Request the roles and experience of the people proposed for the project.
