Odoo Implementation · Case study

Global Inventory Control with Odoo

Odoo for 5 legal entities and up to 12 warehouses, with 7 real-time 3PL connectors, Amazon, Shopify, Xero and consolidated management reporting.

Project context

International ecommerce

An international ecommerce company sells through Amazon and Shopify, operating through five legal entities and up to 12 warehouses worldwide. Its warehouse network supports storage, replenishment, production, packaging, transfers and order fulfillment.

Before the project, the company relied on loosely integrated tools: Airtable, DEXT, Excel, spreadsheets and Claude with MCP. The priority was to bring these fragmented workflows into a consistent system with reliable quantitative inventory management: how much stock the group held, where each product was located, which legal entity owned it and how goods moved between warehouses. Purchasing, marketplace orders and financial reporting needed to work with that same operational model.

ERPixel solution

How the work was approached

ERPixel built a coherent operational system in Odoo Enterprise that reflects how the business actually works. A single database connects five legal entities, their warehouses, intercompany transactions and Amazon and Shopify orders. We also developed seven connectors for different third-party logistics (3PL) operators, enabling real-time exchange of orders, statuses and delivery reference numbers with ecommerce. Product costing, analytical accounting and consolidated reporting were aligned with the client’s accounting policies, while a Xero connector brought external accounting data into the corresponding Odoo companies.

Implementation details

Architecture, workflows and reporting scope

From fragmented tools to one operating model

Before the project, Airtable, DEXT, Excel, spreadsheets and Claude with MCP were only loosely integrated. ERPixel brought the workflows into a coherent Odoo system that accurately reflects the company’s day-to-day operations.

  • A shared model for companies, stock ownership and warehouse movements
  • Connected purchasing, ecommerce and fulfillment workflows
  • Operational and financial data aligned with the way the business works

Five companies, one Odoo database

All five legal entities were configured in a shared multi-company environment. Intercompany processes support transactions between the entities while preserving the relationship between stock and its legal owner.

  • Five legal entities in one database
  • Intercompany transactions
  • Stock movements between legal entities

Inventory across up to 12 warehouses

ERPixel configured the worldwide warehouse structure around the company’s actual flows, giving the team a centralized view of stock quantities across the group.

  • Incoming goods, storage and outgoing goods
  • Purchasing and replenishment
  • Warehouse-to-warehouse transfers
  • Production and packaging processes

Amazon FBA and FBM orders

Amazon connectors were implemented and configured to register and process orders from both FBA and FBM. These orders now form part of the central Odoo inventory and order management processes.

  • Amazon FBA order processing
  • Amazon FBM order processing
  • Marketplace activity connected to Odoo operations

Shopify across companies and warehouses

The Shopify setup had to accommodate multiple legal entities and warehouses within the same ecommerce environment. ERPixel implemented and configured the VentorTech connector for this project.

  • Multi-company and multi-warehouse configuration
  • Mapping and synchronization
  • Monitoring of integration activity

Seven 3PL connectors working in real time

ERPixel developed seven connectors for the different 3PL operators used by the client. These integrations connect external fulfillment operations to Odoo and ecommerce in real time, keeping order and delivery information flowing between the systems.

  • Seven connectors to different 3PL operators
  • Real-time order exchange
  • Statuses passed to ecommerce in real time
  • Delivery reference numbers passed to ecommerce in real time

Product costing and accounting policies

ERPixel worked with the client to define how operational transactions should appear in Odoo. Product costing was configured to support inventory valuation, cost of goods sold and profitability analysis.

  • Product costs and inventory valuation
  • Revenue and cost of goods sold
  • Treatment of intercompany operations
  • Configuration aligned with the client’s accounting policies

Consolidated and analytical accounting

The accounting and management reporting structure was defined with the client. Consolidated reporting across five companies and analytical accounting give the CFO the required dimensions for reviewing the business.

  • Revenue, COGS and profitability
  • Company-level reporting
  • Group management reporting
  • Agreed analytical dimensions

Xero data in the right Odoo company

Statutory accounting remains in Xero. The implemented connector transfers accounting information into the corresponding Odoo legal entities, improving consistency between external accounting records and operational data.

  • Accounting transactions
  • Vendor bills
  • Bank transactions
  • Other relevant accounting data

Training for day-to-day operations

Employees received training on the main operational processes so the team could work independently with the new multi-company structure.

  • Odoo Purchase and purchasing processes
  • Intercompany transactions
  • Inventory replenishment and warehouse operations
  • Stock transfers across the warehouse network

Transformation

Before and after

The operational change delivered through the project.

Before

  • Airtable, DEXT, Excel, spreadsheets and Claude with MCP formed a fragmented toolset with limited integration between systems.
  • The group needed a consistent view of stock quantities, physical locations and legal ownership across its worldwide warehouse network.
  • Amazon FBA, Amazon FBM and Shopify orders needed to participate in the same multi-company inventory and order processes.
  • Accounting information was transferred from Xero to Odoo irregularly, limiting the reliability of financial and management reporting.
  • The CFO needed a consistent reporting structure for revenue, cost of goods sold and profitability across five legal entities.

After

  • A coherent Odoo system reflects the company’s operating model, with seven 3PL connectors exchanging orders, statuses and delivery reference numbers with ecommerce in real time.
  • Odoo centralizes stock quantities and movements across five legal entities and up to 12 warehouses.
  • Configured Amazon and Shopify integrations connect ecommerce orders to the group’s Odoo operations.
  • The Xero connector transfers accounting transactions, vendor bills and bank transactions into the corresponding Odoo companies.
  • Product costing, analytical accounting and consolidated reporting support company-level and group management analysis.

Confirmed outcomes

What the project delivered

  1. 01

One coherent Odoo system reflects operations across five legal entities and up to 12 warehouses

  2. 02

Centralized visibility gives the group better control over stock quantities and movements

  3. 03

Seven 3PL connectors exchange orders, statuses and delivery reference numbers with ecommerce in real time

  4. 04

Product costing and analytical accounting support management reporting across the group

  5. 05

Xero accounting data is transferred to the corresponding legal entities in Odoo

  6. 06

Employees received training in purchasing, replenishment, warehouse and intercompany workflows

Potential next phase

A potential next step: accounting fully in Odoo

Xero remains the external statutory accounting system. A possible next phase would migrate the remaining accounting processes and transactions into Odoo, making it the group’s primary accounting system. This would be a separate project; it is not part of the completed implementation described here.
