Odoo and AI SaaS Proof of Concept for Event Agencies
Odoo SaaS proof of concept for event agencies with event scheduling, visitor tracking, financial planning and AI-generated event websites and content.
Project context
Event agencies and event technology
An early-stage technology company wanted to test a vertical SaaS product for event agencies. The concept used Odoo as the operational foundation for managing events, visitors and event-level financials, with AI assisting planning and public website creation.
The startup needed a functional proof of concept quickly enough to test the product idea and gather feedback. One prototype had to connect event operations, visitor registration, income and expense tracking, AI-assisted scheduling and automated event-specific websites.

ERPixel solution
How the work was approached
ERPixel built an Odoo-based PoC that represents the event lifecycle inside one platform. Agencies can schedule events, register and track visitors, monitor income and expenses by event, use AI-supported planning and generate an event website and supporting content without maintaining a separate manual publishing process.
Implementation details
Architecture, workflows and reporting scope
Event management foundation
Odoo provides the core objects and workflows needed to test whether an event-agency product can operate as one connected platform.
- Event scheduling
- Event records and lifecycle
- Visitor registration
- Visitor tracking
- Agency-focused operating workflow
Event-level financial tracking
Income and expenses are associated with individual events so an agency can review financial expectations and outcomes in the same environment as event operations.
- Income tracking by event
- Expense tracking by event
- Financial planning context
- Event-level visibility
AI-assisted event planning
The PoC uses AI to assist decisions that otherwise require repeated manual preparation. Outputs remain part of the prototype’s event workflow rather than a disconnected AI interface.
- Scheduling suggestions based on agency preferences
- Income forecasting support
- Expense forecasting support
- Structured input for event planning
Automated event website creation
The platform can prepare an event-specific website from information already held in the event workflow, reducing the need to rebuild the same publishing structure manually.
- Event website generation
- Event-specific page structure
- Reuse of event information
- Publishing workflow inside the product concept
AI-generated event content
AI-assisted content generation complements website creation by preparing text relevant to the individual event and its audience.
- Event-specific copy
- Website-content preparation
- Reduced repetitive content work
- Human review before publication where required
PoC delivery strategy
The implementation deliberately focused on the smallest connected product capable of being tested. Future scale and production architecture remain decisions for later iterations based on feedback.
- Rapid functional prototype
- Testable vertical SaaS boundary
- Feedback before wider investment
- Architecture prepared for iterative extension
Transformation
Before and after
The operational change delivered through the project.
Before
- The startup had a vertical SaaS concept but needed a working product boundary for real-world evaluation.
- Event scheduling, visitor activity and event finances had to be represented as connected records.
- Creating a website and content for each event risked becoming a separate repetitive workflow.
- The team needed feedback before committing to a wider production product scope.
After
- A functional Odoo-based PoC combines event operations and financial tracking.
- Event agencies can schedule events and manage visitor registration and attendance-related records.
- Income and expenses can be associated with individual events for planning and review.
- AI assists event scheduling and the preparation of income and expense forecasts.
- Event websites and event-specific content can be generated through the prototype workflow.
